Sports Administrative Assistant Singapore American Community Action Council
SACAC (Singapore American Community Action Council) is now hiring an Administrative and Accounts Assistant. SACAC is a non-profit organization dedicated to serving the expatriate community with athletics and counseling programs. This position is located at the SACAC office in the Singapore American School in Woodlands. You will work directly with the Finance Director and Athletics Directors to ensure smooth daily office operations. This position will give you the opportunity to engage with and support your coworkers by performing administrative tasks crucial to their job performance.
Sports Administrative Assistant
I. General Duties and Responsibilities
* Provide customer service in the front office including answering the telephone and greeting walk-in customers.
* Assist with email and mail correspondence
* Data entry for accounting and sports
* Assist with website maintenance (training provided)
* Order office supplies and schedule maintenance of equipment as needed
II. Specific Accounting Responsibilities
* Assist with accounting functions including account receivables, charge invoices, post payments, keep customer account updates and follow up on overdue billings and collections
* Generate quarterly billings
* Input data into Peachtree accounting system
III. Specific Sports Office Responsibilities
* Assist with online and in-office registration for sports and special events
* Partner with Athletics Directors to generate participant rosters, league player lists, membership distribution letters, thank you letters etc. using the database
* Assist with maintaining accurate lists of commissioners, coaches, and officials
* Assist with equipment and apparel inventory, order receiving/processing and equipment distribution
IV. Complete other tasks as decided upon mutually by the Employee and Finance/HR Director, Athletics Directors, Commissioners of specific SACAC Sports, and/or Chairman of the SACAC Board.
Skills required:
* Excellent customer service skills and a positive attitude
* Passion for youth sports and providing opportunities that allow kids to grow and learn through athletics.
* Strong communication and interpersonal skills
* Ability to organize and work independently
* Fluent in written and spoken English
* Functional knowledge of Microsoft Office Suite. Especially Microsoft Excel
* Knowledge of Peachtree or similar accounting software is preferred
* Legible Handwriting
* Ability to work occasional weekend or evening shifts
* Passion for providing youth with opportunities for athletics
